Service Requests & Estimates

Diagnostic Fee
We charge a diagnostic fee for service calls to cover the time and instruments required to identify the problem. Whether and how it’s credited toward subsequent work depends on the situation; we’ll tell you the specifics when you call so there are no surprises.
Estimates & Quotes
Written estimates are valid for the period stated on the estimate (typically 30 days unless otherwise noted). Prices may change due to manufacturer pricing changes, refrigerant cost shifts, or other factors outside our control; we’ll notify you if pricing changes after an estimate is issued and before work begins.
Payment Terms
- Payment for service calls and repairs is due upon completion of work unless other arrangements have been made in writing.
- Installation payment terms are specified in the installation agreement.
- Accepted payment methods include major credit cards, checks, and approved financing options.
- Past-due balances may accrue interest at the maximum rate permitted by Kansas law, and unpaid amounts may be referred to collections.
Warranty
Equipment carries the manufacturer’s warranty, which we explain at the time of installation. Labor warranty terms are stated in the installation agreement. Warranty does not cover damage from improper use, modifications, lack of required maintenance, acts of God, or work performed by others. See our warranty page for additional detail.
Cancellations & Rescheduling
- Please give us as much notice as possible if you need to cancel or reschedule an appointment.
- For installations, cancellation after equipment has been ordered may result in restocking fees from the manufacturer.
- We reserve the right to reschedule appointments due to weather, equipment availability, or other circumstances; we’ll communicate proactively if this happens.
Customer Responsibilities
- Provide safe and reasonable access to the equipment, work area, and electrical or gas service.
- Disclose known issues or recent work on the system that may affect diagnosis or service.
- Keep pets safely contained and ensure children are supervised while we’re on site.
- Inform us of any HOA requirements, restrictive covenants, or building-specific rules that may affect placement of outdoor equipment.
Limitations of Liability
To the maximum extent permitted by law, our liability is limited to the cost of the work performed. We are not liable for indirect, consequential, or incidental damages (such as lost time, food spoilage, or inconvenience) arising from equipment failures, service delays, or other circumstances beyond our reasonable control. This limitation does not apply where prohibited by law or in cases of our gross negligence or willful misconduct.
Indemnification
You agree to indemnify and hold us harmless from claims arising from your misuse of the website or breach of these Terms. We agree to indemnify and hold you harmless from claims arising from our negligence in performing services, subject to the limitations above.

We prefer to resolve any concerns directly — if you have an issue with our work or billing, please call us first.
